Visitor management for apartments.

The gate decides who comes into a society. A good visitor system gives the guard a quick answer, gives residents control over who is allowed in, and leaves a record the committee can read later.

What the gate needs to record

Who and where. The visitor's name and the flat they are visiting. Who approved. The resident who allowed the entry, and when. In and out. Entry and exit times, so that the committee can tell who is inside. Vehicle. The vehicle number, where a vehicle comes in. Type of visitor. A guest, a delivery rider, a regular vendor or house help, since each needs a different routine.

Four kinds of visitor, four routines

Guests. A resident can approve a guest in advance or when they arrive. Guests who are already approved can be let through without a call. Deliveries. Residents turn on a delivery pass when they order, so the guard can let the rider in without calling every flat. Regular vendors. Milk and newspaper vendors come at set hours. A daily pass with a repeating window avoids approving them every morning. House help. Staff check in at the gate, and the flats they work for are told when they arrive. The record can then be used for monthly attendance.

When the internet drops

A gate that stops working when the connection fails turns into a queue. Check whether guards can still verify visitors without a connection, and what happens to the record once it returns. ResiPass is designed so that the guard app keeps passes on the tablet. Approved visitors can still be checked while the connection is down, and the record syncs afterwards.

Questions to ask any visitor system

Approvals. Can a resident approve a visitor from their phone, in advance or on arrival? Deliveries and vendors. Does it handle delivery riders and daily vendors, or only guests? Who is inside. Can the guard see who is inside the society right now? No connection. What happens at the gate when the internet drops? The log. Can the committee read the visitor log, and for how long is it kept? Privacy. Who can see residents' phone numbers and visit history? Staff. Can house help check in and have their attendance recorded? Hardware. Can it work with a boom barrier or cameras if the society adds them later?

How ResiPass handles it

ResiPass is in final testing before launch. Its gate app is designed around passes. Residents turn on delivery passes and daily passes, guards see active passes on the gate tablet, and the society manager can see who is inside right now. The delivery pass page and the house help page explain each routine in more detail.

Questions

What is a visitor management system for an apartment?

It is the software a society's gate uses to approve and record who comes in. Residents approve visitors, guards check them, and the committee keeps a searchable log.

Is a paper register enough for a society gate?

A paper register records visits, but it is slow to search and entries can be missing or hard to read. A society can move to an app so that residents approve visitors and the committee can look through the log.

Does the guard need an internet connection?

That depends on the app, so ask each vendor. ResiPass is designed to keep checking passes stored on the guard tablet and to sync later.
